Basic knowledge Project management Project implementation Input – Communication in the team

Team communication

Here you will learn how to communicate well in a team.

You are now part of a team, you will implement a project together, that means you will communicate with each other during the time of project implementation. And you know, communication is the be-all and end-all! What are the possibilities for successful communication within the team?

Team meeting:

  • Face-to-face is the easiest and most effective way to communicate. Agree on a suitable rhythm at which you will meet and/or coordinate. In the beginning, for example, one meeting per week/every two weeks could be enough – during the hot phase (i.e. shortly before and during an event or similar) it is probably worthwhile to have the meetings take place at shorter intervals.
  • To do this, collect the most important points on a list before the meeting, then the team meeting itself will run more orderly.
  • Set a time frame for the meeting of about 1-2 hours.
  • Identifies one person from the team to facilitate the team meeting and another person to record it.

Communication platforms - for communication beyond team meetings:

The use of a communication platform is usually worthwhile if you:

  • starts a longer project (from 4 months)
  • want to document your task distribution or your files
  • want/need to communicate a lot in the team
  • works from different places

Which platforms are recommended?

  • Platform n (from network n)
  • Slack
  • Trello
  • Bitrix 24
  • Is that too much effort for you? Maybe group chats on Telegram, Threema or the good old mail distribution list will do as well
  • For all those who do not necessarily insist on independence from companies such as Google, Facebook, etc.: You can of course also use Google Drive, Whatsapp or Facebook groups

What else should be considered?

  • Respects weekends and bedtimes.
  • Write bundled and compact messages rather than 50 short messages.
  • Agree on a rhythm in which you access your platform (i.e. at what rhythm the messages, tasks, etc. are read).
  • Exchange cell phone numbers in case someone needs to be reached on short notice.
